theme Project planning

The two objects of planning are phases and milestones. They are presented here in the form of a gantt chart.

Milestones are used to setdeadline for the project, and to indicate the project's level of progress.

Tasks and exchanges can be linked to phases or milestones: this is a dependency.

All milestones created in all projects are displayed in the milestone list. MilestonesMilestones

Phase Phases can be used to divide a project into several parts, with start and end dates, project properties, etc.

A phase can be the mother of another phase, which is therefore a phase.

A planning cockpit is available in the project header (if set via the view Project headerProject header). This cockpit is based on milestones only, not phases. If a green square is displayed: milestones are not late. If a check mark appears, then all milestones are done.

Drag & Drop: click and hold on the project phase , one of the phases or one of the milestones, and reposition schedule elements as required: before or after an object, parent/child of another schedule object...

Fold

Allows you to fold a level: fold phase milestones so that they no longer appear on the screen, fold sub-phases, fold phases, and so on. When folding is no longer possible, only the project remains displayed.

Unfold

Unfold a level: Unfold phase milestones so that they appear on the screen again, unfold sub-phases, unfold phases, etc. When it is no longer possible to unfold, all schedule objects are displayed on screen.

Increase WBS shrinkage

This button is used to shift a schedule object, making it a child of a previous schedule object. Rights required : Modification of schedule object datesModification of schedule object dates

Reduce WBS shrinkage

This button is used to shift a schedule object so that it is no longer a child of a previous schedule object. Rights required : Modification of schedule object datesModification of schedule object dates

Duplicate selected items

This button is used to copy selected schedule objects (including child objects). Rights required : Modification of schedule object datesModification of schedule object dates

Delete selected items

Displaying the gantt chart

Allows you to display the Gantt in simple or complete form: - Simple display: label, estimated start and end dates, phase/milestone status - Full display: milestone manager , type, dates synchronized with schedule objects, and attachments

Undo last Gantt updates

Cancels the last modification made to the project schedule Rights required : Modification of schedule object datesModification of schedule object dates

Redo

Redo the last cancelled modification made to the project schedule Rights required : Modification of schedule object datesModification of schedule object dates

critical path

This critical path will indicate phases/milestones that jeopardize the project completion date: they will be circled in red. If the project is shifted accordingly, these elements will no longer be highlighted.

Enable automatic scheduling

When a schedule object has been shifted, this button shows the adjustment of dependent phases/milestones. If automatic scheduling is activated on a project by a user, if the user disconnects or makes changes to the project, automatic scheduling will still be activated when the user returns. Conversely, if automatic scheduling is not activated for a user on a project, it will not be activated until the button is clicked. Rights required : Use automatic schedulingUse automatic scheduling

drift between target and estimated planning

This button displays the initially planned schedule objects in graytarget) and the estimated schedule objects in color (updated since the target schedule was planned).

Show target schedule

This button switches the display from the estimated schedule to the target schedule.

Legend

The legend displays colors according to the selectedattribute (color). For example, if the selected colors correspond to the status of the objects in the schedule, the legend will show : Getting started, In progress, Completed... Phases in progress will therefore appear in yellow, but this may change if the schedule no longer shows the status but the phase type. List attributes with the Quick search criteria checkboxes appear in the schedule display options

Colors

Allows you to define the colors of schedule objects according to an attribute : type, health, status...

Scale to project dates

By clicking on this button, the schedule elements are adjusted on the screen according to the dates. All elements will appear without having to navigate from one end of the gantt chart to the other.

Zoom in

This button enlarges the display of planning objects

Zoom out

This button gives you an view of the objects in the schedule, as they will be displayed in a smaller format.

Full screen

Displays the schedule in full screen mode (always in a browser tab)

Exit full screen mode

Displays the schedule normally in, rather than full-screen. 🚩 This button appears when full screen has already been activated 🚩 This button appears in the Planning theme contextual menu

Save estimated schedule as target

This button is used to save as targets all the dates of schedule objects considered as estimated. Correct schedule dates

This button updates the schedule with the correct dates: the dates of the project or schedule objects may have been modified via other screens. If phases have children/parents, it may be useful to synchronize the dates. This button therefore takes the earliest start date and the most recent end date of the child phases. Shifting the schedule

This button is used to shift schedule itemsestimated or target): simply select a date from the calendar. Rights required : Modifying a schedule objectModifying a schedule object 🚩 This button appears in the contextual menu of the Planning theme .

Activity

Modify density

Choice between Normal and High. With a high density, more planning lines will appear in the list (without changing page). Lines will be thinner than with normal density. 🚩 This button appears in the contextual menu of the Planning theme .

Export to Excel

This button exports the project's gantt chart as an .xlsx file. The on-screen display of the schedule will be identical to that in the downloaded file. Example: EXPORT-DATE.xlsx 🚩 This button appears in the contextual menu of the Planning theme .

Export in CSV format

This button exports the project's gantt chart as a .csv file. The on-screen display of the schedule will be identical to that in the downloaded file. Example: EXPORT-DATE.csv 🚩 This button appears in the contextual menu of the Planning theme .

Export to PDF

This button exports the project's gantt chart as a .pdf file. The on-screen display of the schedule will be identical to that in the downloaded file. Example: EXPORT-GANTT-DATE.pdf 🚩 This button appears in the contextual menu of the Planning theme .

PNG export

Edit

Insert

🚩 This button appears in the contextual menu of a phase or milestone. This button is used to insert new elements to a phase or milestone. It is possible to add a milestone, a phase, or a typical schedule from a project template . Milestones and phases can be added without templates or with templates. PhasePhase milestonemilestone When inserted in a phase or milestone, the estimated end date will be the same as that of the parent phase or milestone . 🚩 The date may be red: it will not be possible to save without changing the estimated end date. If some dates appear grayed out, then a calendar has been defined on the milestone template , restricting the possible dates to selection. Visit

This button is used to view tasks or exchanges related to the selected phase or milestone . The user is redirected to the task list. This button launches a summary sheet document for the phase or milestone. Delete

Quick editing

By hovering over an object in the schedule, you can modify its fields directly. Rights required : Modification of schedule object datesModification of schedule object dates or Modifying a schedule objectModifying a schedule object

Dates entered manually

If this padlock is displayed, then the parent/daughter phases do not have their dates linked.

Dates synchronized with children's dates

If this padlock is displayed, then the start and end dates of the phases are linked: parent/daughter phases. When the parent phase changes from a status (e.g. "in progress") to a "completed" status , a pop-up is displayed, and the daughter phases of this phase can also change to the completed status by clicking on OK. If you click on Cancel, only the parent phase will switch to the "completed" status . If the parent phase returns to "in progress" status , the child phases retain their "completed" status .

Why can't I delete a phase or milestone ?

This Planning screen can be filtered using several criteria:

Click on RegisterRegister to apply the filter and CloseClose to return to the list.

Creating and modifying a phase

You can add a phase using a template PhasePhaseor without template.

The phase is created and added to the schedule after clicking on the Add. The fields to be filled in are available when you modify the phase;

A phase can be modified via 4 tabs:

Creating and modifying a milestone

A milestone can be added using a template milestonemilestoneor without template.
