Activity entries

Entering activities

Users can enter activity data to view all workloads on a project or phase. This includes all the hours or days (depending on settings) entered by the user. Everything is consolidated at the level of the resource associated with the user on the project.

The timesheet entered is added to the theme ResourcesResources of the project once summed up by month, in representation completedcompleted. It is therefore possible to compare this representation with the targettarget entered when the project was created.

Access to activity entry can be pinned to the top right of the screen PinsPins.

For budgets: representation corresponding to the amount of expenses booked (asInvoiced") For resources: representation of activity entries

Theremaining work representation has been added to activity entry: when you want to enter completed work, you can now have a suggested remaining work .

⚙️ Formula: RAF = capacity - completed For resource scheduling : this is the estimated number of working days remaining for the resource to complete its mission on the phase, from the scheduling date.

List of activity entries

This list displays activity entries for several resources on your platform. Depending on your rights, you can view all entries, or only those at the same hierarchical level as you.

By clicking on a resource, you are redirected to the Activity entries - Activity entry sheet (week)Activity entries - Activity entry sheet (week).

FilterFilter

We can have a filter All projects or a filter that works with criteria.

This button makes it easy to find the items you're looking for. You can use an already saved filter (private or public) or specify specific filter criteria.

Once selected, a filter remains active until deselected by the user. When logged out, if a filter was active at logout, it will still be active the next time the user logs in.

This activity entry list can be filtered by a number of criteria:

Click on RegisterRegister to apply the filter and CloseClose to return to the list.

It is also possible to apply public filters ResourceResource or private filters ResourceResource.

💡

A triangle appears when the filter chosen for the search is not a registered filter.

Modify densityModify density

Choice between Normal and High. With a high density, more lines can appear in the list (without changing pages). The lines will appear thinner than with a normal density.

ExportExport

This button instantly downloads an .xlsx file containing :

  • the WordingWording of the resource
  • the different weeks of the selected period ( period selector) with the entries of completedcompleted
  • the completedcompleted of the resource per week
  • the capacitycapacity of the resource for the selected period

Validation of activity entry

Submit in bulk

By ticking several activity entries, you can submit them en masse. The status of these entries must be : Draft

Refuse en masse

This button allows the manager or resource manager to reject activity sheets at status Submitted.

The timesheet status (top left) changes from Submitted à Refused. An e-mail notification is sent to the resource so that it can make changes and resubmit the activity entry.

This action is possible for activity entry sheets for resources attached to the same structure level as the manager.

Mass validation

This button allows the manager or resource manager to mass-validate activity entry sheets at status Submitted. The status of the timesheet (top left) changes from Submitted à Validated.

This action is possible for activity entry sheets for resources attached to the same structure level as the manager.

If you have incorrectly validated an activity entry sheet, you can Disable the sheet. You must have the right Invalidate a timesheetInvalidate a timesheet Contact your administrator if necessary.

previous period

You can switch from one period to a previous period by clicking on this button. The current period will then be modified in the period  selector - Retroactive modeperiod selector - Retroactive mode

next period

You can move from one period to the next by clicking on this button. It is not possible to access the next period if the current period is the active period . The current period will therefore be modified in the period  selector - Retroactive modeperiod selector - Retroactive mode

FoldFold

To the left of a project line, this button folds the phases belonging to the project. To the left of a break line, use this button to fold the projects and phases contained in the break.

This changes the display only. Once the element is folded, it can be unfolded.

UnfoldUnfold

To the left of a project line, this button unfolds the phases belonging to the project. To the left of a break line, this button unfolds the projects and phases contained in the break.

This button folds a level of lines: phases and projects. Only breaks will be visible, even though everything is folded. This button is accessible from the timesheet header line on the left.

Suggest remaining work

This button is used to show/display the remaining work for each day and each phase : it appears in gray on each box where remaining work has been planned. scheduleschedule

This button sends an e-mail to the resources assigned to this phase, notifying them of the end of work for the resource associated with the logged-in user.

PlanningPlanning

This button links to the Planning theme in the project area of the timesheet line. PlanningPlanning This button can be accessed from the contextual menu of a phase already added to the timesheet.

ExportExport

For projects, you can see: status, start date, end date and description, as well as project attributes added to the view . For phases, you can see: parent phase , manager, status, start target, end target and message , as well as milestone attributes added to the view.

Modifications

Add

This button provides access to a search engine for adding phases to the activity entry sheet. In principle, projects are added automatically, with all phases to which the resource is assigned and which have already started.

Adding notesAdding notes

Notes can be added to the activity entry sheet to provide more information about the activity carried out.

This button is available on every line of the timesheet.

Visit DateDate shows you the day of the week on which to add notes, as well as a LoadLoad if not already seized.

The field CommentComment allows you to add information about the desired date.

The week displayed is the one displayed before clicking on Adding notesAdding notes. To change it, if you have not entered anything, click on Canceland click on Apply if you want to save what was already entered.

It is possible to CloseClose one day to reduce its size in the window and stop editing it. It is then possible to EditEdit again.

RemoveRemove

This button is used to remove a phase already added to the activity entry sheet.

It is only possible to remove a phase if the activity entry for that phase is 0.

A confirmation window will appear, asking you to confirm the removal of this phase from your entry. This button can be accessed from the contextual menucontextual menu of a phase already added to the timesheet.

Add all phasesAdd all phases

This button is used to add the other phases of the project already added to the timesheet. It is possible to add phases to which the user has been added. This button is accessible from the contextual menucontextual menu of a phase already added to the timesheet.

Validation of activity entry

Submit

The timesheet status (top left) changes from Draft à Submitted.

Your manager can then Confirm or Refuse this entry.

A confirmation message is displayed to ensure that the activity entry has been submitted correctly.

This button allows the manager or resource manager to validate an activity entry sheet at status Submitted. The status of the timesheet (top left) changes from Submitted à Validated.

A warning is displayed: the activity entry sheet can no longer be modified.

A window appears: an e-mail must be sent to the resource to notify them of any changes made to the activity entry sheet. If the resource modifies its activity entry sheet again, it will return to status Draft.

It is possible to check/uncheck notes entered on days and phases to help the resource know which entries need to be modified.

Disable

This button allows a platform administrator to invalidate an activity entry sheet with the status Validated. The aim is to be able to modify the sheet again (comment or completed entry). After modifications, the entry sheet will return to its status Draft The timesheet status (top left) changes from Validated à Submitted.
