Creating a scenario

  1. Getting to the theme PortfoliosPortfolios.
  2. Access to Portfolio scenariosPortfolio scenarios.
  3. Click on Add.
  4. Fill in the information fields:
  5. ‣
    WordingWording

portfolio scenario name. It is important to choose a descriptive name.

    ‣
    Long labelLong label

Full description of the portfolio strategy

    ‣
    DescriptionDescription

    Description of this portfolio scenario

    ‣
    CodeCode

Codes are generally entered in uppercase letters and with underscores _ It is important to enter them because they can be useful in case of errors or during import.

    🚨

portfolio two portfolio scenarios can have the same code.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

  6. Select astatus the scenario:
  7. ‣
    statusstatus

Select a status the scenario: approved, draft… By default, the status set to Draft

  8. Select the application period for your portfolio scenario.
  9. ‣
    periodperiod

This refers to the period which the scenario will be run. For example: from January 2025 to December 2027.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

  10. Define a scenario manager (default: the creator).
  11. ‣
    managermanager

This field allows you to select a user to serve as the manager . By default, the user who created manager will be selected.

  12. Attach your scenario to a structure if necessary.
  13. Select candidate projects for the portfolio individually or via filter criteria.
  14. 🚨
The maximum number of candidate projects is set at 1,500.
    ‣
    StaticStatic

This field allows you to select, one by one, the projects that will be included in the portfolio scenario

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

    ‣
    SelectionSelection

This field allows you to select the desired projects from the drop-down list. You can check individual projects one by one, or select all of them by checking the first box. If you uncheck a box corresponding to a project, that project will no longer appear in the portfolio project list.

    🚩

This field appears if the field StaticStatic has not been checked.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

    ‣
    CriteriaCriteria

This field allows you to select the projects that will be included in the portfolio filter criteria:

    • ContainsContains
    • AttachmentsAttachments

    • With late milestonesWith late milestones

    🚩

This field appears if the field StaticStatic has not been checked.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

  15. Add attributes: profits, weather, etc. This will give you strategic information to refine your scenario.
  16. ‣
    Project attributesProject attributes

You can add project attributes ProjectProject : profits, weather, etc. This will provide strategic information to refine the scenario. The following project attributes are available:

    • Chain : a string of 225 characters
    • Digital
    • Boolean
    • List
    • Date

The following project attributes are not available:

    • Multi-line
    • Wealthy
    • Image
    • Document

The selected attributes appear as tiles, and you can drag them to reorder them.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

  17. Choose whether the scenario will use resources and/or budgets.
  18. ‣
    Using resourcesUsing resources

Allows you to choose whether to use the scenario with the theme . The associated resource constraint fields appear or disappear depending on this selection.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

    ‣
    Using budgetsUsing budgets

Allows you to choose whether to use the scenario with the theme . The associated budget constraint fields appear or disappear depending on this selection.

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

  19. Enter constraints, via resource categories, with either a minimum load or a maximum load allowed to complete this scenario:
  20. ‣
    Resource unitResource unit

This unit is for reference only; it is used solely for display purposes (e.g., JH…)

    ‣
    resource categoryresource category

This field is used to select the correct category to display the resources for the projects included in the scenario

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

    ‣
    Min. loadMin. load

This field is used to define a minimum load for resources: the gauge will use this value to determine whether to display the correct assumption. This is for display purposes only. You cannot enter a “maximum” constraint value if a “minimum” constraint value has already been entered, and vice versa.

    🚩

You are not required to enter a constraint. If no constraints are defined for resources or budgets, the gauge will serve only as a guide: the total amount will be displayed for reference, but the gauge will always remain green.

    ‣
    Max. loadMax. load

This field is used to define a maximum load for resources: the gauge will use this data to determine whether the assumption is correct or not.

  21. Enter constraints, via budget categories, with either a minimum or maximum load allowed to complete this scenario.
  22. ‣

This currency symbol is for reference only and is used solely for display purposes (e.g., €, $, £…).

    ‣
    category budgetcategory budget

This field is used to select the correctbudget category budget display the budgets for the projects included in the scenario

    🚨

This field cannot be edited once the scenario has been created. You will then need to create a new portfolio scenario.

    ‣
    Budget minBudget min

This field is used to set a minimum value for budgets: the gauge will use this value to determine whether to display the correct scenario or not.

    ‣
    Max. BudgetMax. Budget

This field is used to set a maximum limit for budgets: the gauge will use this value to determine whether to display the correct assumption or not. You cannot enter a "maximum" constraint value if a "minimum" constraint value has already been entered, and vice versa.

    🚩

You are not required to enter a constraint. If no constraints are defined for resources or budgets, the gauge will serve only as a guide: the total amount will be displayed for reference, but the gauge will always remain green.

    💡
If no constraints are defined for resources or budgets, the gauge will only be "guide": the total amount will be displayed for indication, but the gauge will always remain green.
