- Define a framework (dates, expenses, budget)
- Identify the right projects and requests to include in the portfolio, based on the framework
- Dynamically select/deselect projects and requests
- Visually check that selected projects fit the framework
- Dynamically adjust the macro scheduling of portfolio projects and requests and dynamically see the impact on the framework
- Create a portfolio from a valid scenario
- portfolio scenarios are accessible via a hierarchical right
The portfolio Scenario feature is activated free of charge for any SaaS platform for one month, as soon as it is upgraded to v7.1. When an On Premise platform is installed in v7.1, a one-month trial will also be automatically added.

Creating and modifying a portfolio scenario (frame definition)
Here are the fields found in this screen:
This form allows you to create a new portfolio scenario.
It provides a framework for selecting candidate projects.
If the scenario was created by duplicating another scenario, then the fields are pre-filled with a copy of the source scenario and the label is prefixed with "Copy:". Projects selected and adjustments made in the previous scenario are not retained.
Rights required :
Actions (scenario creation)
Register âĄïž
It takes a few moments to create the scenario. The user is then redirected to the list of portfolio scenarios.
Actions (scenario modification)
Go to âĄïž Accesses the portfolio scenario from within its configuration
Apply âĄïž Saves changes while continuing to modify the configuration
Register âĄïž Save and close
Duplicate âĄïž Creates a new scenario by copying all criteria
Delete âĄïž Deletes the scenario
If multilingual configuration is enabled, an additional field must be filled in a section Multilingual
.
This field corresponds to the object label in the other language.
Portfolios can be linked to hierarchies, if their structure link to the object portfolio is defined on Optional
or Mandatory
.
Modify portfolio scenario
Modifications to this screen do not affect the projects themselves. Projecthistory is not affected either.
A snapshot is created when the scenario is created, and the scenario data is from that day. The day is shown in the top left-hand corner of the screen. This date may change if you update the data.
This screen automatically saves your changes.
Several actions can be taken on the portfolio scenario to match the selected projects with the minimum and maximum budget and resource loads.
- đâčïž A health block displays the projects selected and the projects available to build a portfolio scenario. Projects added to or removed from the scenario have an impact on this health block: it combines resource and budget gauges.
- đ„ The load gauge for the resources, with the minimum/maximum constraint defined in the scenario. If no constraints are defined, then no gauge is displayed. Consolidation totals are accumulated as for other constraint types.
- đž The load gauge for budgets, with the minimum/maximum constraint defined in the scenario. If no constraints are defined, then no gauge is displayed. Consolidation totals are accumulated in the same way as for other constraint types.
Button name | Description |
---|---|
This button is used to modify the project framework: budget or resource constraints, scenario name... Not all frame fields can be modified. You'll need to create a new scenario to change the list of candidate projects, the code or the attributes. | |
This button updates the scenario data with the latest project data. In this way, the data date (available at the top left of the screen) will be updated with the current date. â ïž Please note that any modifications made to the scenario will be overwritten with the new "real" project data. | |
Once the scenario appears to be correct, this button is used to create a portfolio of selected candidate projects. An e-mail is then sent to the scenario manager . It contains the list of projects that have been included in the portfolio , and specifies any adjustments (budget). The portfolio will be "correct" once all these modifications have been made, project by project (modification of project start/end dates, modification of budget, etc.). From the e-mail, you can click on the "View portfolio" button. đ© This button is grayed out if no candidate project is selected. | |
This button exports the portfolio scenario as an .xlsx file. The name of this file is the name of the scenario. | |
This button allows you to (de)select all candidate projects with a single click. The portfolio scenario will then be adjusted to the budget and resource constraints defined in the framework. The impact will be visible in the gauges at the top of the screen. On arrival at the screen the first time, all projects are selected. | |
This button is used to (de)select a candidate project as a single unit. The portfolio scenario will then be adjusted to the budget and resource constraints defined in the framework. The impact will be visible in the gauges at the top of the screen. On arrival at the screen the first time, all projects are selected. | |
This button allows you to filter projects in the list of candidate projects by criteria. You can filter on project and resource labels, on project attributes, and on project or resource hierarchies. Multiple filter criteria can be combined. Only lines containing the required value are displayed. There is no impact on the project counter: projects added to the basket are always counted at the same number, whatever the criterion used to narrow down the list. Once a search has been performed, you can close the search by clicking on the cross, and return to the complete list of candidate projects in the portfolio. | |
This button displays the totals of your scenario's resource and budget columns, if they are spread over several years or financial years. The totals cannot be modified, but are updated each time the scenario is modified. Budget totals correspond to the budget gauge at the top of the scenario, and the same applies to resources. | |
The load plan can be displayed on a portfolio scenario. It enables you to view the resource profiles and workloads of selected projects in greater detail. capacity and remaining work resource remaining work are displayed in this graph. â ïž Please note that the load plan will not be displayed if there are more than 300 projects in the scenario, whether selected or not. Workloads are displayed on a monthly basis. When a resource is assigned to several projects, its capacity is counted only once. You can choose whether or not to display certain resource profiles in the graph by clicking on the profile legend on the right. If scenario data is modified, the load plan is automatically updated with the new values. The total resource capacity displayed in the load plan can be filtered by clicking on the profiles in the load plan legend. This enables you to see the capacity of certain profiles only, such as a developer or a project manager contracting authority. | |
The gantt chart allows you to see at a glance the temporality of the projects in the scenario. â ïž Please note that the gantt chart will not be displayed if there are more than 300 projects in the scenario, whether selected or not. The gantt chart is displayed according to the projects selected. If you deselect a project, it will no longer appear in the Gantt. It can be easily shown or hidden. The graphical period is based on the project's start and end dates. You can zoom in and out on the gantt chart of a portfolio scenario using a time scale (months, years) to better analyze it. A tooltip appears when you hover over a project. This tooltip provides the following information: project name, start date and end date. Project dates can be modified in the Gantt or in the table, and workloads are modified accordingly. | |
This button allows you to sort the information in each column. You can therefore sort candidate projects by wording, by start date... | |
This button is used to unfold a project line and view the details in terms of budgets or resources: profiles and analytical axes used are displayed. If no profile: "No profile" will be displayed. | |
This button allows you to fold a project line and no longer see the details in terms of budgets or resources: profiles and analytical axes used will no longer be displayed. | |
This button is used to modify budget or resource amounts on a project line. Please note that these modifications do not have a direct impact on projects, but only on the scenario currently under construction. | |
This button lets you choose a new date for a project. This can be a project start or end date, for example. If a project's dates change, then the gauge levels must correspond to the table column totals for each resource or budget constraint. Project data are not affected in any way, as this is a projection. If the project is selected in the future project portfolio , the modification will be made in the project itself. |

It is possible to find other fields in this table, such as project attributes. Project attributes are added when the portfolio scenario is created. Once created, they can no longer be modified. You will need to create a new scenario.
