Resource

A resource is an entity used for a project, it carries a capacity : a number of days available to carry out an activity, and it can therefore be associated with a cost.

A resource may be associated with a certain hierarchical level, it may also have a profile (architect, project manager, developer...), and a type (internal, external...).

There are two types of resources:

  • Named resource Assigned to a user identified and monitoring for the project. UsersUsers Most named resources are created automatically when the user is created. In some cases, however, it may be necessary to create the resource afterwards, in which case it's important to know that the CODE is what associates the user with the resource.
  • Generic resource: Enables work capacity to be defined according to a chosen axis (skills, team, external resource). The generic resource is used when the identification of a named resource is impossible or unnecessary (at the start of a project, for example, when the need for an expert is known, but the name of the expert has not yet been identified).

FilterFilter

We can have a filter All projects or a filter that works with criteria.

This button makes it easy to find the items you're looking for. You can use an already saved filter (private or public) or specify specific filter criteria.

Once selected, a filter remains active until deselected by the user. When logged out, if a filter was active at logout, it will still be active the next time the user logs in.

It is possible to filter this list of resources using filter criteria:

Creating and modifying a resource

The screen for viewing/editing a resource is divided into four tabs:

Resources - Calendar tabResources - Calendar tab

Certain actions can be performed by clicking on the contextual menucontextual menu of a resource, regardless of which tab you are on:

Apply

This feature is useful for applying your modifications while continuing to change information on the same page. This button is available when you are modifying an element that has already been created.

SeehistorySeehistory

Displays the list of changes made to this resource by all users.

Stocks are sorted from the most recent to the oldest date.

Select a period

This button appears in the contextual menucontextual menu from the resource modification screen if the activity entry is set to hours.

This button allows you to go back to a period to change the hourly rate specifically for that period.

Initialize capacities

This button appears in the contextual menucontextual menu from the resource modification screen.

This button allows you to reset all resource capacities to zero, before or after a date to be defined. A window appears with two fields to fill in:

  • Initialize capacitiesInitialize capacities :
    • Before the : the capacity this resource will be defined at 0 for all periods prior to the date you selected.
    • After the : the capacity this resource will be defined at 0 for all periods after the date you selected.
  • Initialization dateInitialization date : select the initialization date for this resource.

Example:

If I choose Before the and the date of January 1, 2026then all the capacities of my resources before the January 1, 2026 will be equal to 0.

Capacities after the date of January 1, 2026 do not change.

DeleteDelete

Allows you to delete a resource.

Start capacity calculation

This button appears in the contextual menucontextual menu from the resource modification screen.

This button calculates the resource's capacity based on the resource's schedule. Resources - Calendar tabResources - Calendar tab and Percentage of activityPercentage of activity filled.

This allows you to change the past capacities of resources. A window appears and the field Start capacity calculation from this dateStart capacity calculation from this date is to be filled in with the date from which capacities will be updated (new percentage of activity, changes to the resource schedule)

This field allows you to select a specific profile (different roles within the organization, etc.). If the resource will have multiple roles depending on the project, it is not required to assign a profile. If you add a profile to a generic resource, the plan can then be analyzed using that profile within projects.

Generic resourceGeneric resource

By checking this box, the resource becomes generic (not intended to be assigned to a specific user). A generic resource is created to meet a project need or a required profile, without knowing in advance the names of the resources that will work on the project. We will therefore apply generic resources. Later, we can assign named resources and assign target workloads to them, and then de-assign the generic resources. Only one profile can be associated with a generic resource.

This refers to the number of hours worked by the resource that differs from the hourly rate defined in the platform configuration.

If multilingual configuration is enabled, an additional field must be filled in a section Multilingual. This field corresponds to the object label in the other language.

Untie managed resource

This button unlinks the user who has been associated with the resource in the UsersUsers.

It appears in the contextual menucontextual menu field Associated userAssociated user.

This button will not appear if no users are associated with this resource.

Capacities and costs tab

cost Monthly resource cost. This cost is calculated via a monthly rate defined in the tab for each resource. Resources - Capacities and costs tab Resources - Capacities and costs tab . The aim is to add value to resources.

Here are the fields found in this screen:

Percentage of activityPercentage of activity

This refers to the resource's percentage of activity. For a named resource in the organization who works full-time, we would note 100, part-time 50, etc. For a generic resource, if, for example, 7 developers will be working on my project (but I don't know who they are), then I can enter 700 on my generic resource Developer.

YearYear

This field allows you to select the year for which you will set the capacity and monthly costs. By default, the selected year is the current year.

MonthMonth

This field displays the month for which capacity costs will be recorded. If the selected year is 2025, so the first month to appear will be January 2025.

‣
capacitycapacity

capacity of the resource (20 days per month...). This field cannot be filled in manually, as it is based on the resource's calendar or activity percentage (working and non-working days specific to the selected resource). This capacity be reset to 0 before or after a certain date. This capacity be recalculated after changes to the resource's calendar or activity percentage.

CostCost

Monthly cost of the resource. The goal is to be able to track resource costs. Once a cost has been entered for a month, you can copy those costs to the rest of the selected year as well as to future periods.

At the end of the table summarizing months, capacities and costs, the total capacity of the resource for the selected year is shown.

Capacity calculations are performed automatically based on the current month.

Copy this cost for all future periods

This button appears when you hover over a line, to the right of it.

This button is used to apply, once a CostCost has been entered for a month of the year of a resource, apply the same cost for all future periods (months of the rest of the selected year and subsequent years).

Attachments tab

This tab lets you link resources to structure levels.

Resources do not necessarily work for the same departments, the same services, the same countries... Depending on the project and the hierarchical level, the resources available will not be the same.

Calendar tab

This tab only appears when modifying a resource that has already been created; it does not appear when creating the resource. You must first save your entries in the other tabs.

Calendars are managed in CalendarsCalendars. This calendar defines the capacity the resource, i.e. the number of days worked.

If no period selected, then the period will be selected (year 2025).

The user has a calendar that combines the three types of calendars (hierarchical, platform, and resource).
